1. Introduction

This Agreement forms the basis of the relationship between Ibis Academy (Ibis) and you (learner enrolled with Ibis for any course). Through this enrollment you will be subject to the terms of the Student Agreement in force for the academic year for which you have enrolled.

2. Premises of Enrollment

Your enrollment is subject to your submission of your official records to meet the minimum requirements of the course you are enrolled for, and agreement to the 'no refund' policy of Ibis. Please note that you are given enrollment only after accepting the 'No Refund' policy of Ibis when you completed the enrollment process online.

3. Learning Environment

Learning process cannot be successful without commitment from both sides. This section narrates the commitment of Ibis as well the expectations of Ibis from learners.

Ibis shall ensure to:

• Provide you with tuition and learning support appropriate to your program of study with reasonable care and skill.
• Provide clear information about your program and units of study and give guidance on what is likely to be required to complete them successfully.
• Encourage a professional and responsible learning environment and suitably support you academically.
• Communicate with you via your registered email address.
• Provide placement assistance to all eligible learners. Ibis do not give placement assurance to any learner. However, Ibis shall support every eligible learner (see eligibility criteria below) by providing three interview chances to land in a job pertinent to their program.

Ibis requires all enrolled learners to:

• Take responsibility for your own learning and development, work hard and diligently, contributing effectively to your program and respecting the needs of your fellow students.
• Take an active interest in all aspects of your program and ensure you are aware of updated information.
• Attend educational activities (lectures, seminars, tutorials, laboratory classes, etc.) as are defined in your program, subject to absence for medical or other agreed reasons.
• If the course work requires internship for completion, you are solely responsible for identifying the industrial location for internship and make necessary arrangements to conduct the internship. Ibis will be not supporting in securing internships.
• Make appropriate use of the resources available, comply with all Ibis policies, including 'POL-011 Code of Conduct'.
• Act with academic integrity in all aspects of your studies, evidencing your independent thought, presenting accurate data, complying with ethical obligations and clearly referencing other people's ideas.
• Undertake all assessment activities including examination with integrity and refrain from unethical practices including plagiarism and submit by the required deadlines any work to be assessed as part of your program.
• Check your registered email account regularly and frequently both during and outside term time so that you are aware of relevant information in good time.
• Have met the entry requirements for the program for which you are registered and to be able to evidence these qualifications at any time during your period of registration as required by Ibis policies.
• Read and understand the documentation provided by Ibis regarding the course work, assessments, learning objectives of the program and what they mean for you.

4. Topics Discussed During Orientation

The following topics were discussed during the orientation. Learners will be given the opportunity to ask and clarify any of their concerns in the process.

• Clearly explained all accreditation bodies relevant to the course enrolled.
• Explained SOP 011 – Code of Conduct and Student Complaint Investigation Process.
• Explained SOP 006 – Course Evaluation and Form 6A – Student Feedback Form.
• Clearly explained the fees, no refund policy and the degree awarded for the course he is enrolled in.
• Explained and made the students aware of certificate issuance and other matters related to certificate issuance.
• Diploma certificate and transcript are issued within a minimum of five (5) weeks.
• Explained the Anti-Discrimination Policy of Ibis as per POL 011 – Code of Conduct and importance to Ibis.
• Course batch time is conveyed and made aware that it cannot be changed in future.
• Candidates who are required to retake examinations due to failure or for improving the scores are required to pay a re-examination fee of Rs. 500 prior to taking the exam. This fee is applicable only for retaking the exams and NOT for first time examination takers.
• Candidate shall not be eligible to attend classes until the dues are cleared and the candidate shall solely be responsible for any delays in course completion in this event.
• The concerned program faculty clearly explained:
  • Any pre-requisites applicable for the course.
  • The learning outcome of each subject in the course enrolled in.
  • Shared of documents (including 2C & Flyer).
  • Subjects taught with contact hours spend on each subject.
  • Textbooks and other references pertinent to the course work.
  • Introduction to CEUs and how they are calculated.
  • GPA Calculation and grading process for each course.
• Student must secure a minimum GPA of 'D' (60%) or above from all assessments in every subject to PASS in that subject.
• Student will NOT be considered for graduation in any course until he completes all subjects with 'D' or above.
• CEUs are awarded only after PASS in the subject.
• Learners are informed that faculty has NO proprietary interest in any product, instrument, device, service, or material to be discussed in the learning event.
• Explained the process for releasing student records – Students may request release of their learning records by (1) coming in person with identification documents or (2) an email request from the registered email address to courier the records to their registered address.
• Learners are made aware that NABET certificate is offered only for specific courses.

5. Topics Discussed During Orientation for Diploma in Personal Training Program

(Not Applicable to Learners Enrolled in Other Programs)

The following topics were discussed during the orientation. Learners were given the opportunity to ask and clarify any of their concerns in the process.

• Ibis DPT (Diploma in Personal Training) is a 200-hour program delivered in English.
• All payments made to Ibis are non-refundable.
• Learners must have 90% attendance for successful completion of the course and certificate issuance.
• Learners must score (1) a minimum of 70% in MCQ Exam(s) (2) PASS in all worksheet assessments, (3) PASS in Viva and (4) PASS in the Final Summative Practical Assessment for graduation.
• If the learners fail to attend the mandated hours, he/she will have to appear those sessions with the next batch to be counted for graduation. This will incur additional cost depending on the number of classes being repeated.
• If the assessor observes plagiarism in any of the assessments, which includes copying the answers from peers, previous learners, or directly from manual, the learner will be given a 'REFER' status (fail) along with a fine of Rs. 1000/-
• Candidates who are required to retake examinations are required to pay a re-examination fee prior taking the re-exam.
• The reexamination fees is Rs. 1000/- for Practical Summative exam and after 3 failed chances, Rs 500/- will be charged for MCQ exams.
• Candidate shall not be eligible to attend classes until the fee is fully paid and the candidate shall solely be responsible for any delays in course completion in this event.
• All certificates will be issued together and will take a minimum of five (5) weeks.
• All certificates are available in soft copies only.

(Not Applicable to Learners Enrolled in Other Programs)

The following topics were discussed during the orientation. Learners were given the opportunity to ask and clarify any of their concerns in the process.

• Active IQ EQF Level 2 Fitness Assistant Course is offered with online tutor support through Google Meet or in offline mode.
• Active IQ EQF Level 3 Fitness Instructor Course is offered with online tutor support through Google Meet or in offline mode.
• Active IQ EQF Level 4 Personal Trainer Course is offered with online tutor support through Google Meet or in offline mode.
• Learners must successfully complete all assessments directly on AIQ student portal for certificate issuance.
• Certificate is available as soft copies from the student portal.
• All payments made to Ibis are non-refundable.

8. Placement Cell Terms and Conditions

Eligibility & Registration

Ibis offers placement assistance to all eligible learners. Eligibility for placement assistance program is based on the following:

• Only students who successfully graduated from Ibis Academy are eligible for placement.
• The placement grooming sessions conducted are mandated for all students appearing for placement process.
• It is mandatory for the students to clear all their dues if they are getting placed before they finish their exams.
• Students without 90% attendance are disallowed from the placement process.
• Students are mandated to attend the personality development class organized by the Placement Cell.
• Students with low attendance in personality development class will be disallowed from placement process.
• Placement process shall commence only after successfully completing the course. Under no circumstances will the placement process start prior to graduation.
• Placements will happen within 3 months from the graduation.
• The placement registration form must be filled at the time of joining.
• Students will be removed from placement process if they are found to have engaged in any indecent/unprofessional or criminal activity inside or outside the campus at any stage of the course.
• Each eligible learner shall be given a maximum of three interviews after graduation.
• If a student accepts a company offer and does not join the firm later, he/she will no longer be allowed to participate in the placement process.
• If a student declines an opportunity to interview for a position in their respective field of area arranged by Ibis Academy on more than one occasion, then such students will be disqualified from any further placement support.
• If any student fails to respond to calls and emails regarding placement opportunities within a specified timeframe, it will be automatically assumed that they do not require further assistance or support related to placements.
• If a student fails to present himself/herself for an interview scheduled through Ibis placement cell after confirmation without a valid reason, then such students will be disqualified from any further placement support.
• Those students who are being placed should work in their respective company for at least a period of 1 year only then Ibis Academy will be able to help them in future placements.

Resume

• Students must require submitting their resumes to the placement cell as and when they are asked to submit.
• Any failure to submit during that period could potentially undermine their chances for placement.
• The details in the resume must be genuine and any fraudulence identified in the resume will lead to disbarment from placement process.

Pre-Placement Talks

• Notifications of this session will be informed by placement cell.
• Students must be present in the venue 15 minutes before the scheduled start.
• Students interested in a placement drive must attend this without fail, with proper dress code.
• Students must clarify details regarding salary break-up, job profile, place of work, bond details, etc., during this session.

Post-Placement Process

• Selected students shall go through all employment formalities, as outlined by the company. This could include medical tests, visits to the company and other prescribed formalities.
• Students shall coordinate with the placement cell for their offer letters sent by the companies.
• It is common for companies to send the offer letters to the placement services, several months after placements. Students must have patience and should be in touch with the placement cell for the same.
• Any discrepancy in the offer letter needs to be resolved directly between the student and the company, since several matters are discussed directly between the student and the company during the interview process, which the Placement Team could be unaware of.
• Only in severe cases of discrepancy, should the Placement Team be requested to intervene.

Placement Process (In and Off Ibis Campus)

• It is the responsibility of the student to check announcements/notices/updates/E-Mail/WhatsApp/information/shortlisted names, etc.
• Students are expected to be on-time as per the announcements. Late comers for Aptitude Test/GD/Technical and Personal Interviews will not be allowed to appear for the selection process.
• A student who applies and gets shortlisted is bound to go through the entire selection process unless rejected midway by the company. Any student who withdraws deliberately in the middle of a selection process will be disallowed from placements process.
• Students must maintain discipline, behave with ethical conscious, and act with integrity in every action they take during the placement. Any student found violating the above standards set by IBIS or act in a manner defaming the institute will be disallowed from the placements.
• Students appearing for outside interview should inform the Ibis placement cell about any appointment received within 2 days after results are announced. If company refuses offer letter due to any reason, Ibis will not take any responsibility of the situation.
• Student should travel on their own responsibility by understanding all risks in traveling and taking consent from their parents.
• If student has registered for placement and if he/she rejects the offer letter, he/she will NOT be considered for any placement related activities in Ibis.

Job Offers

• A copy of the offer letter received is required to be submitted in the placement cell along with 2 passport size photos.
• In the entire process the student can accept one offer only after which he/she will be automatically removed from the placement process.
• If a student receives more than one offer owing to delays in the announcements of results by the companies, the student is bound to accept the job offer whose results are declared earlier.
• If the results are declared on the same day, the student may choose from the offers in hand and inform the placement office of his choice, within 24 hrs of announcement of results.

Miscellaneous

• MEDICAL TEST: The Placement cell assumes that every selected student will pass the medical test. If there is a rejection at this stage, the student will be allowed to seek placement through this office again.
• JOINING STATUS: If students decide not to join the company, they should inform the company by writing in advance. They are also required to submit a copy of that letter to the Placement cell.
• Instances such as delays in joining date due to any reason (either from company/by student) or if company withdraw job offer due to any reason, must be handled amicably between company and student.
• DRESS CODE: Students must be formally dressed (white shirt, black trouser, tie, identity card & black shoes) whenever they participate in any sort of interaction with a company. Placement cell reserves the right to refuse permission to a student to attend the selection process, if their attire is unsatisfactory.
• For all matters not covered by the above regulations, the Placement Cell will use its discretion to take appropriate decisions.
